Onboarding
Create structured onboarding processes for new employees with phases, templates, and a Kanban overview.
What is the onboarding feature?
Section titled “What is the onboarding feature?”With the onboarding feature in Papershift Pulse, you can create standardized and repeatable workflows for new employees. It consists of:
- Phases (for structure)
- Templates (for reuse)
- Kanban view (for tracking progress)
Where can I find the feature?
Section titled “Where can I find the feature?”You can find the onboarding feature in the left-hand main navigation under “Onboarding.”
Set up onboarding
Section titled “Set up onboarding”1. Create phases
Section titled “1. Create phases”Phases divide the onboarding into meaningful steps. They apply globally across all templates and onboardings.
To set up phases:
- Go to Account Settings.
- Open the “Onboarding” tab.
- Create, edit, delete, or sort phases as needed.
2. Create templates
Section titled “2. Create templates”Templates define tasks for each phase and can be reused for different roles.
To create a template:

Go to the “Onboarding” tab in Account Settings.

Create a new template.
- Name (ideally one template per role)
- Welcome message (optional, displayed in the employee profile once
onboarding starts. Supports various formatting like headings, lists, links,
etc., and
@user.nameas a placeholder for the new employee’s name)

Navigate through all phases within the template and define tasks.
Tasks consist of a title and a description. The description supports formatting:
- Bold, italic,
strikethrough - Headings (h1–h3)
- Lists (ordered, unordered)
- Checkbox lists (ideal for subtasks)
Start onboarding
Section titled “Start onboarding”Once phases and templates are set up, you can start an onboarding.
To start an onboarding:
- Open the “Onboarding” section.
- Click “Start onboarding.”
- Select an employee, a template, and the first working day.
You can also start a blank onboarding—without a template.
Track progress
Section titled “Track progress”Kanban view
Section titled “Kanban view”All onboardings are displayed in a Kanban view. Each phase appears as a column, and employees are placed according to their phase.
- Clicking a name shows details
- Tasks can be assigned, completed, added, or removed
- Later phases are already editable
Manage tasks
Section titled “Manage tasks”In the detail view of an onboarding, you can:
- Assign tasks
- Mark tasks as completed
- View your own tasks (filter)
- Hide completed tasks
Switch between phases
Section titled “Switch between phases”Once all tasks in a phase are completed, you can move the onboarding to the next phase. The progress bar (per phase) resets to zero. You can move an onboarding to the next phase at any time, even if not all tasks are completed. In this case, you will be asked if you really want to proceed. You can also switch back to a previous phase at any time.
Complete or cancel onboarding
Section titled “Complete or cancel onboarding”Once you’ve finished the process, you can mark the onboarding as “completed.” Alternatively, you can cancel it at any time.
Employee view
Section titled “Employee view”During onboarding, employees see a dedicated tab in their profile: “Onboarding”
Included there:
- A personal welcome message
- A list of tasks assigned to the new employee with the option to mark them as “completed”
After the onboarding is completed, the tab is automatically removed.
Why don’t I see the onboarding feature?
Section titled “Why don’t I see the onboarding feature?”You probably lack the required permission. Only HR roles can see the feature.
How do I set up phases?
Section titled “How do I set up phases?”Go to Account Settings → “Onboarding” tab. There you can create, delete, or sort phases.
Can I customize tasks individually?
Section titled “Can I customize tasks individually?”Yes. In each onboarding, you can add, remove, or edit tasks.
How do I start onboarding for new employees?
Section titled “How do I start onboarding for new employees?”In the “Onboarding” section, click “Start onboarding,” select an employee and template, and set the first working day.
Can employees have multiple onboardings at the same time?
Section titled “Can employees have multiple onboardings at the same time?”No. Only one onboarding or offboarding is possible per employee at any given time.
